Terms and Conditions for Centres

These Terms and Conditions (“Terms”) govern the purchase and use of Politics Online licences by schools, colleges, and other educational centres (“Centre”, “you”). By purchasing a Centre licence from Politics Online Limited (“we”, “us”, “our”), you agree to be bound by these Terms.
- Who We Are
Politics Online Limited is a company registered in England and Wales (company number: 15985148).
Registered address: 10 Whitegale Close, Hitchin, England, SG4 9LP.
Our platform is hosted securely in the UK by Krystal Hosting and operated on WordPress.

- Eligibility and Scope
- These Terms apply to Centres (including schools, colleges, and other educational institutions) purchasing licences on behalf of their students or staff.
- Separate Terms apply to Individual Subscribers.
- Licence Grant
- We grant the Centre a non-exclusive, non-transferable, limited licence to provide access to Politics Online for the number of users covered under your purchased licence(s).
- Each licence is valid for one named student or staff member. Account sharing is prohibited.
- Licences are for educational purposes only. Commercial use, resale, or redistribution is not permitted.
- Intended Users and Age Restrictions
- Politics Online is designed for A Level Politics students aged 16 and over.
- Centres may permit students under 16 to use the platform only where verified parental or guardian consent has been obtained.
- Resources suitable for younger users (KS3 or KS4) will be clearly marked. All other resources should be assumed to be for A Level use only.
- The Centre accepts full responsibility for ensuring suitability of content for its students.
- Data Protection and Privacy
- We comply with the UK GDPR, the Data Protection Act 2018, and the Children’s Code (Age-Appropriate Design Code).
- Politics Online Limited acts as the data controller for personal data collected through the platform. In relation to Centre-provisioned accounts, we and the Centre may act as joint controllers.
- Data collected includes names, email addresses, school details, login records, and IP-based geolocation to monitor compliance.
- Data is stored securely on UK servers provided by Krystal Hosting.
- Our Privacy Policy and Cookie Policy apply to all Centre users and form part of these Terms.
- Safeguarding and Child Protection
- Centres are responsible for ensuring safe and lawful use of the platform by students.
- Centres must:
- Supervise student use of the platform.
- Ensure appropriate parental consent has been secured for under-16s.
- Monitor safeguarding obligations and prevent inappropriate data sharing.
- Politics Online implements safeguarding measures, including content monitoring and reporting systems.
- Safeguarding concerns must be reported promptly to admin@politicsonline.co.uk.
- We reserve the right to suspend accounts where safeguarding risks are identified.
- User Responsibilities and Acceptable Use
7.1 Responsibilities
- Centres must ensure staff and students maintain the confidentiality of login credentials.
- Centres must ensure compliance with these Terms by all authorised users.
7.2 Prohibited Use
Centres must ensure staff and students do not:
- Share login details outside the licensed user base.
- Upload, distribute, or share unlawful, defamatory, or inappropriate material.
- Engage in harassment or harmful conduct towards others.
- Copy, adapt, or redistribute Politics Online content without prior permission.
- Upload or distribute content that infringes copyright or intellectual property rights.
- Attempt to reverse engineer, hack, or circumvent platform security.
- Provide access to non-subscribed individuals.
- Use the platform for commercial purposes or to share materials on public forums.
7.3 Monitoring and Enforcement
- We may monitor account activity to ensure compliance with these Terms.
- Accounts may be suspended pending investigation of suspected violations.
- Confirmed violations may result in warnings, suspension, or permanent termination without refund.
- Intellectual Property
- All Politics Online content (including text, videos, images, quizzes, and resources) remains the property of Politics Online Limited or its licensors.
- Centres and their authorised users may not reproduce, copy, or redistribute content without prior written consent.
- Suspected copyright infringement may be reported to admin@politicsonline.co.uk for investigation.
- Technical and Support Provisions
- System requirements: internet connection, modern web browser, internet-enabled device.
- Service availability: we aim to maintain 99.9% uptime, but service interruptions may occur due to maintenance or events outside our control. Where possible, scheduled maintenance will be notified at least 48 hours in advance.
- Support: Centres can contact us at admin@politicsonline.co.uk.
- Payment Terms
- Licence fees are charged at the rates published on our website or otherwise agreed in writing.
- Payment is due within 30 days of invoice unless otherwise agreed.
- Payment may be made via bank transfer, Stripe, or PayPal. We do not store card data.
- Late payments may result in suspension of access and may incur statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998.
- Duration, Termination, and Refunds
- Licences are granted for the agreed subscription period. Unless otherwise stated, they do not auto-renew.
- We may suspend or terminate access where:
- Payment obligations are not met.
- These Terms are breached.
- Unauthorised account sharing is detected.
- Site analytics show unusual or fraudulent activity (for example multiple logins from different locations or repeated failed login attempts).
- Safeguarding or compliance risks are identified.
- Refunds are not generally provided, except where legally required.
- Liability and Indemnity
- To the fullest extent permitted by law, Politics Online Limited excludes liability for indirect or consequential losses, including loss of data, business interruption, or reputational damage.
- Our total liability under these Terms will not exceed the licence fees paid for the relevant subscription period.
- Centres agree to indemnify Politics Online Limited against claims arising from:
- Misuse of accounts under their supervision.
- Failure to obtain parental consent for under-16s.
- Breach of these Terms by staff or students.
- Force Majeure
We are not liable for delays or failures caused by events beyond our reasonable control, including but not limited to cyber-attacks, internet outages, government restrictions, technical failures, or acts of God.
- Legal and Regulatory Compliance
We comply with:
- UK GDPR
- Data Protection Act 2018
- Children’s Code (Age-Appropriate Design Code)
We design the platform with high default privacy settings and age-appropriate safeguards.
- Communications and Marketing
- We may send service-related communications (for example account updates, policy changes) which are not subject to opt-out.
- Centres may opt out of marketing communications at any time by following unsubscribe instructions or contacting us.
- Changes to Terms
We may amend these Terms periodically. Centres will be notified of significant changes by email and on our website. Continued use of the service constitutes acceptance of revised Terms.
- Governing Law
These Terms are governed by the laws of England and Wales.
The courts of England and Wales have exclusive jurisdiction over disputes arising from these Terms.
